Submit or Donate Images for the Department's Archive
The VRC’s digital archive include visual content submitted by departmental MFA and BFA candidates, as well as content donated to the department. Items are cataloged for ongoing access in the digital collections comprising our archive. See our Find Images page for more information about our collections.
As a requirement of graduation, MFA candidates submit documentation of thesis work to the AAH Department's student work archive prior to the end of the semester in which the work is exhibited.
MFA step 1: Prepare your documentation and accompanying files
See the for complete instructions, including file naming and uploading instructions. Make your own editable copy: Go File > Save As, and either "Save a Copy" online or "Download a Copy" by clicking File > Download > Microsoft Excel. File name: AAHVRC_IDs_MFA_LastnameFirstinitial.xlsx.
- Documentation to submit:
- Up to 20 images (and/or other files if applicable) documenting your MFA thesis work. The nature of the work determines how many images and other files best represent it as installed. Include images of individual works and at least one installation view.
- If the work consists of or includes moving images, submit entire video(s), along with still images of installation views if applicable.
- In addition to image, video, and/or audio files, you will submit:
- The (make a copy to edit; download and submit in .xlsx format)
- Your artist statement (.docx format)
- Your written thesis (.pdf format)
- Minimum file standards:
- Digital Images: TIFFs, 3,000 pixels or more on the longest side.
- Video: QuickTime (.mov) format. HD quality if work is mastered in HD (1920×1080 frame size, 16-bit 48 kHZ stereo audio, native frame rate of the master project); DV quality file if work is mastered in DV (720×480 frame size, 16-bit 48 kHZ stereo audio).
- Works on film need to be digitized following the standards above.
- Other file types: ask VRC staff.
- Note that all file names should be in format of LastNameFirstInitial_2-digit suffix, with 2-digit suffixes in numerical sequence (e.g., DoeJ_01.docx, DoeJ_02.pdf, DoeJ_03.tif, etc.). Your artist statement should be LastNameFirstInitial_01.docx, your written thesis should be LastNameFirstInitial_02.pdf, with the rest of the files in sequence, beginning with “_03” as the first 2-digit suffix.
MFA step 2: Fill out the MFA Thesis ID Form and upload all of your files
- Upload the following files:
- The completed MFA Thesis ID Form, with IDs for each file listed in numerical sequence
- Your artist statement (LastNameFirstInitial_01.docx)
- Your written thesis (LastNameFirstInitial_02.pdf)
- Your images and/or other documentation files (.tif, .mov, or .mp3 format, LastNameFirstInitial_03.tif, LastNameFirstInitial_04.tif, etc.)
You will need a VRC staff member’s signature indicating that you have submitted all of your thesis documentation before your studio deposit is returned (please contact the Graduate Program Coordinator with any questions about your studio deposit signature sheet).
BFA candidates submit documentation of their BFA exhibition work to the AAH Department's student work archive prior to the end of the semester in which the work is exhibited.
BFA step 1: Prepare your documentation and accompanying files

- Documentation to submit:
- Up to 10 images (or if applicable, other file types) documenting your BFA exhibition work. The nature of the work determines how many images and other files best represent it as installed. Include images of individual works and at least one installation view.
- If the work includes moving images, submit entire video(s), along with still images of installation views if applicable.
- In addition to image, video, and/or audio files, you will submit:
- The (make a copy to edit; download and submit in .xlsx format)
- Your artist statement (.docx format)
- Minimum file standards:

- The VRC gratefully accepts donations of high quality digital images if they 1) support the curricular mission, 2) comply with US copyright laws, and 3) are accompanied by the information needed for cataloging.
- We cannot assign a value to your donated digital photography, but can provide a letter acknowledging your donation, which may be tax-deductible (please consult a tax adviser). All accepted donated images may be made available for teaching and research at CU.
- Cataloging priority is given to faculty requests in support of courses.
- Before submitting large orders for general collection development, email VRC staff to ensure that we have the staff available for processing them. Thank you for considering us for your donation.

- We are happy to accept original 35mm slides to be scanned for the digital collection, using the same guidelines for donating digital images (above).
